Successfully organising industry-focussed Golf Days for high-level relationship building in a relaxed social atmosphere.

The Challenge

The client was looking to host an annual golf day in two strategic locations across the world which gather a diverse community of maritime industry professionals for relationship building in a relaxed, competitive landscape.

The key objectives of this event management campaign were to attract a maximum & relevant attendance and meet a target cost per head set by the client.

Our Approach

Wake Media worked with the client to organise industry-focussed Golf Days in two locations: London and Dubai. The identification of a venue that would provide the ‘WOW’ factor as well as being able to facilitate maximum attendance was key to achieving successful events. This involved the Wake Media team undertaking negotiations and contracts management with the venue.

To ensure that maximum attendance of selected stakeholders was achieved for each Golf Day, targeted invite lists of key industry personnel were developed with Wake Media handling the formal invitation process. Themed/branded individual invitations were sent out by post or electronically with attendance requests recorded and communications coordinated by the team.

Arrangements undertaken by an allocated Wake Media Pre-Event Coordinator included organising food and refreshments for the guests, the identification and ordering of wide range of branded promotional giveaways, which included polo shirts, golf balls, golf towels, golf bags and trophies. An allocated Creative Assistant from the Wake Media team handled the design and production of promotional material for use before, during and after the events. This included branded promotional material such as vertical and horizontal banners, various invites/flyers. A thank you book, and a video of event activity were also produced.

On site at the Golf Days, Wake Media management and support staff were on hand to host guests, provide on course refreshments, run score management, post event entertainment, prize presentation and to conduct photography across the entire day.

After the events had taken place, the design and production of a post event thank you brochure was also undertaken and promotion of the success of the Golf Day with selected photos were shared across social media channels and sent to selected media outlets.

Impact

The client Golf Days organised by Wake Media offered an exclusive opportunity to engage with key industry players and build important relationships in a relaxed social atmosphere. For all Golf Days organised by Wake Media, attendance targets were achieved in addition to cost per head requirements being met.
